SRR Board Meeting Minutes

The meeting started at 6:03. Board members attending were Jen Matlock, Steve Clark, Terry Smith, Nassar Mufdi Ruiz, Randy Graham, Steve Clark, Aaron Crowe, Elaine Brown, David Freeze, Cathy Michael. Missing were Peter Asciutto and Annice Chunn.

David welcomed everyone and mentioned that it had been a very busy time.

Jen gave the Treasurer’s report. She is working with a new program and will submit a treasurer’s report in another format later tonight or tomorrow.

Winter Flight was discussed.  At least one sponsor still needs to submit a check, and several will get their shirts. Final accounting will be completed as soon as the last bills are in and active.com completes processing the online registration checks.

Upcoming races—Terry Smith reported on the next race, the St. Patrick’s Day 5K. Shirts and awards are ordered. Registrations are starting to come in. Race day is March 10th.

David reported on the Millbridge Elementary 5K, slated for March 24th. All is going well, SRR will time and do results and it will be a paid race.

Steve reported on the ‘Run for Tom 5K’. SRR volunteers can donate their time to help with a fundraiser for a local teacher who has pancreatic cancer. Race day is Sunday, March 18th.

Sportoften has proven to be very quick in response, and easy to work with. We are looking forward to a good year working with them.

Randy discussed the annual meeting, and David reported that the annual meeting is mentioned on the Bylaws for SRR. Everyone feels good about another annual meeting in the same format next year.

David reported that SRR might have the opportunity to participate in the Special Olympics this April. More later.

He also reported that the Wounded Warriors Run will cross the state during May.  SRR has made contact through member April Marshall. We hope to be able to run with them when they cross Rowan.

David reported that numbers and pins should arrive this week for the rest of the RRMC Rowan County race schedule, totaling 15 more races.

David also reported that the trailer, finish line banner and numbers will all now display RRMC, and that we are considered a wellness connection partner.

New Business included the following.

The Sunset Run is scheduled for Sept. The Tourism Bureau has already scheduled a meeting to start the process for 2012’s race. SRR will approach this race cautiously because it already has issues that are not friendly to runners, SRR, and the Salisbury PD. It was agreed upon at the end of last year that SRR would operate this race in 2012, after a very narrow focus by a sponsor and others involved in the planning last year.  SRR owns the race and the State Championship designation.

David brought a copy of the bylaws and discussed some of the things that we are trying to do a better job of following.  These included:

No more than 10 members on the Board of Directors, a fiscal year running from Jan. through December, officers and board members presented annually for confirmation by the general membership. Board members will only be added to fulfill another member’s term, should they drop out for any reason.

Peter has mentioned and sent an e-mail today that he is soon going to run for public office and will also be the President of the Rotary in Albemarle, and therefore will serve till replaced. With Peter’s departure, SRR will meet bylaw guidelines for not more than 10 members.

Nassar took the bylaws to copy and send to all board members. All have received them tonight by e-mail.

Elaine is working on some sponsorship solutions with several groups. She is reaching out to Bread Riot, which is a coop of local farmers and farm related businesses.

Next meeting is March 6th.

Meeting was adjourned at 7:07. The executive committee met briefly after the meeting concerning an important issue.
